Administrative support for Executive Management and Director Teams
Executive Assistants generally ensure the smooth running of the office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients.
Understanding and respect for confidentiality, with both inter-agency and external communication, is required for this position
Acting as the point of contact between the executives and internal or external colleagues
Organizing meetings and booking meeting rooms
Handling correspondence directed to managers
Making travel arrangements and detailed travel itineraries
Taking dictation and minutes and writing them up subsequently
Producing reports and presentations
Prepare correspondence and presentations to diverse groups and individuals including advocating for the organization at various community, university, government, business, and provider network meetings
Act as board liaison for the management team by providing administrative support to the board of directors throughout the year including scheduling meetings and retreats.
Ensures the timely preparation, publishing, and distribution of materials (e.g. requests, agenda, schedules, polls, minutes, resolutions etc.) for the Board and Board Committee meetings.
Maintain governance records
Support Director of HR & Admin in preparation for annual audits and organization recertifications


Ability to prepare reports and handle written and oral communication with diverse groups
Proven ability to meet deadlines and follow through on assigned tasks
Ability to communicate in a professional manner on the phone and in person. Strong verbal and written communication skills
Ability to read, analyze, and interpret agreements and other legal documents
Ability to work independently.
Good organizational skills and excellent attention to detail
